Privacy Policy
Last modified: October 1, 2026
Introduction and Scope
This Privacy Policy governs your access to and use of Fycus Holdings Corp.’s public informational website at https://fycus.ai/ and the pages, features, forms, communications, and digital workflows that link to this Privacy Policy (the "Website"). In this Privacy Policy, "Fycus," "we," "us," and "our" refer to Fycus Holdings Corp. This Privacy Policy explains how we collect, use, disclose, and otherwise process Personal Information through the Website. If you do not agree with this Privacy Policy, do not use the Website.
This Privacy Policy applies to individuals who visit, browse, interact with, or submit information through the Website. It also applies to information we collect about people we contact or speak with outside the Website, such as board members, residents, property managers, and others involved with community associations (see “Outreach and Conversations Outside the Website” below). It does not apply to app.fycus.ai or any application, platform, account-based service, enterprise service, or paid service that Fycus may offer. Those offerings are governed by separate privacy notices when available. This Privacy Policy is incorporated into our Terms of Use.
Definitions
For purposes of this Privacy Policy:
- “Cookies and Tracking Technologies” means cookies, pixels, tags, web beacons, embedded scripts, software development kits, session replay tools, and similar technologies used to collect or process information from a browser, device, or online activity.
- “Personal Information” means information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked, directly or indirectly, with you or your household. Personal Information does not include publicly available information or deidentified or aggregated information.
- “Sell” or “Sale” means disclosing or making available Personal Information to a third party for monetary or other valuable consideration, as defined by applicable law.
- “Sensitive Data” means Personal Information that is considered sensitive under applicable U.S. state privacy laws, which may include certain government identifiers, precise geolocation data, information revealing racial or ethnic origin, religious beliefs, health condition or diagnosis, contents of communications where protected by applicable law, Personal Information collected from a known child, and other categories treated as sensitive under applicable law.
- “Share,” “Shared,” or “Sharing” means disclosing or making available Personal Information to a third party for Targeted Advertising, Cross-Context Behavioral Advertising, or similar advertising-related purposes, but only to the extent applicable law uses or defines that concept.
- “Targeted Advertising” or “Cross-Context Behavioral Advertising” means displaying advertisements selected based on Personal Information obtained or inferred from an individual’s activities over time and across nonaffiliated websites, applications, or online services to predict preferences or interests, as defined by applicable law, and generally does not include advertising based solely on an individual’s current interaction with our Website or direct interactions with us.
How We Collect and Use Personal Information
When you visit the Website or interact with its forms and communications, we may collect information that identifies or relates to you, such as your name, email address, telephone number, and information you voluntarily provide. We may also collect information from your browser or device through Cookies and Tracking Technologies.
We may use both first-party and third-party Cookies and Tracking Technologies, including tools used for essential website operations, performance and analytics, fraud prevention, security, debugging, content personalization, attribution, diagnostics, and service improvement purposes. Depending on the technology used and applicable law, information collected through Cookies and Tracking Technologies may constitute Personal Information or Sensitive Data.
Information We Collect
The categories of Personal Information we collect depend on how you use the Website. They may include contact information; early-access signup information; the contents of inquiries or other messages; information you choose to provide about your association or community; and information about you that we collect when we contact you or speak with you outside the Website.
- Personal Information You Provide: This may include your name, email address, telephone number, and the contents of any contact or early-access signup form you submit. The early-access signup form asks for your email address and your consent to email you about early access. It may also ask, at your option, for your association’s name, your role, how your association is managed, the number of units, your state, the challenges you face, and which features would help most. Please do not include information about other people, financial account numbers, passwords, or confidential or privileged association documents or records in a form or message.
- Signup and Attribution Information: When you submit the early-access signup form, we also record the wording of the consent you agreed to and when you agreed, the page you were on, the first page you arrived on during your visit, the website that referred you, any campaign tags in the link you followed (such as UTM parameters), the version of the form, and when the form was opened and submitted, which helps us detect automated submissions. During your visit, your browser holds the arrival page, referring website, and campaign tags in session storage so they can be sent with the form; session storage is cleared when you close the tab. To limit spam and abuse, we also keep a scrambled (hashed) version of your IP address, the country your connection appears to come from, and your browser’s user-agent text.
- Internet and Device Activity Information: As you interact with our Website, we may collect information about your browsing history or certain other information through your use of and visits to the Website and our use of technologies, including cookies, tags, SDKs, beacons, and similar tools. The types of information collected may include search terms, browser information, computer type, operating system, page visits, referring pages, platform type, date/time stamp, and similar usage information.
The Website may use analytics, advertising, consent-management, monitoring, logging, hosting, content-delivery, email, and security providers. The analytics and advertising tools below load by default when you visit; you can turn them off at any time with the Your Privacy Choices link in the footer:
- Analytics (if you allow analytics): Google Analytics 4, through Google Tag Manager. It counts visits and which pages and buttons are used.
- Advertising (if you allow advertising): the Meta Pixel (Meta Platforms, Inc.), the Reddit Pixel (Reddit, Inc.), and Microsoft Advertising Universal Event Tracking (Microsoft Corporation). They tell those companies that a visit happened and when someone requests early access, so that we can measure our ads, and build and reach audiences on those platforms. They may set cookies or similar identifiers in your browser, and they receive your IP address, browser and device information, the page visited, and any identifier they have already set for you. These companies may combine that information with what they already hold about you, and may use it as described in their own privacy policies: Meta, Reddit, Microsoft.
We do not send what you type into the early-access form, including your email address, to any of these tools.
We may receive information about you from affiliates, service providers, advertising, analytics, or technology vendors, social media platforms, and other third parties in connection with the operation of the Website. The information we receive from those sources may include identifiers, contact information, device and browser data, referral information, campaign data, or other information associated with your interactions with our Website or communications.
Outreach and Conversations Outside the Website
We also collect and keep information about people we contact, or who contact or speak with us, apart from the Website. This includes board members, residents, property managers, and others involved with community associations.
- What we keep: your name, email address, and telephone number; your role (for example, board member or resident); your association’s name, state, size, and how it is managed; how we came to contact you or how you reached us; the dates and channels of our contacts; and notes from our conversations, including what you tell us about the challenges you or your association face and the tools you use today.
- Where it comes from: you, when you write to us, reply to us, or agree to a conversation; the Website’s forms (described above), when we follow up on a signup; referrals from other people; and public sources, such as state business or association registries, association websites, and public directories. Information from a public source may be publicly available, but once we keep it in our records we handle it as described in this Privacy Policy.
- How we use it: to contact you about Fycus and early access; to arrange and follow up on conversations; to learn what boards and residents need and to decide what to build; to track where each conversation stands; and to keep a record of anyone who asked not to be contacted.
- Where we keep it: with a service provider that hosts the contact and sales-tracking database we use. That provider is currently Airtable. It processes the information for us and not for its own purposes, except as permitted by applicable law. We do not keep information from our app in this database.
- Your choices: tell us at legal@fycus.ai, or reply to any message from us, that you do not want to be contacted, and we will stop and keep only enough information to remember your request. You can also ask what we hold about you and ask us to delete it, as described in “U.S. State Privacy Rights.”
- Please keep conversations free of confidential material: do not send us your association’s confidential or privileged documents, financial account numbers, passwords, or information about other people. We will not publish your name, or a quotation that identifies you, without asking you first.
Automatic Data Collection Preferences
You may adjust your browser settings to limit Cookies and Tracking Technologies, prevent automatic downloading of images in emails, and use the Your Privacy Choices link made available on the Website. Blocking these technologies may affect Website functionality. You may need to update your preferences separately on each browser or device. Analytics and advertising tools listed above load by default when you visit. The Your Privacy Choices link in the footer of every page is how you opt out: turning it off stops those tools, deletes the cookies they set on our domain, and reloads the page. If your browser sends a Global Privacy Control signal, we treat it as a request to opt out and turn analytics and advertising off automatically; the choice cannot be turned back on while that signal is present. You can also manage advertising settings directly with the platforms named above.
Email Choices
You can unsubscribe from our emails at any time by using the unsubscribe link in the email or by writing to legal@fycus.ai. We keep a record that you unsubscribed so that we do not email you again. You may also ask us to delete the information you gave in the early-access signup form by writing to the same address. The same applies to messages we send to people we contact directly, apart from the signup form: reply to tell us you do not want to hear from us, or write to the same address, and we will stop and keep a record so that we do not contact you again.

- To communicate with you and respond to requests, questions, comments, early-access signups, and other inquiries.

- To allow you to participate in surveys and other forms of market research.
- To send you emails regarding system downtime and/or changes to this Privacy Policy or the Terms of Use.
- For risk control, fraud detection and prevention, compliance with laws and regulations, and compliance with other legal processes and law enforcement requirements.
- If we engage in Targeted Advertising, to support advertising, attribution, campaign measurement, and related marketing activities, subject to your choices and rights under applicable law.
- To provide customer service, troubleshoot issues, debug errors, maintain Website functionality, and improve performance and user experience.
- For any other purpose with your consent.
How We Share Personal Information
We may disclose certain Personal Information to third parties, including advertising partners, analytics providers, and social media platforms, for advertising, analytics, attribution, campaign measurement, and related purposes.
We may disclose your Personal Information in the following ways:
- To Affiliates: We may disclose your Personal Information to our affiliates and subsidiaries for the purposes of providing services to you, operating our business, supporting our Website, communicating with you, and for internal administrative, analytics, security, and business purposes consistent with this Privacy Policy.
- To Service Providers: We may disclose Personal Information to service providers that assist with Website hosting, content delivery, communications, email, form processing, consent management, analytics, security, fraud prevention, marketing support, contact and sales record keeping (currently Airtable, see “Outreach and Conversations Outside the Website”), and other Website operations. They may process Personal Information only to provide services to Fycus or as otherwise permitted by applicable law.
- To Contractors and Professional Advisors: We may disclose Personal Information to contractors, consultants, auditors, insurers, attorneys, accountants, and other professional advisors who need the information to provide services to us or assist us in operating our business.
- For Compliance with Applicable Laws or Law Enforcement: We may disclose Personal Information in response to law enforcement requests, court orders, subpoenas, and other legal processes, or where we believe disclosure is necessary or appropriate to comply with law or protect the rights, property, safety, and security of Fycus, Website visitors, or others.
- For Business Operations: In the event of a sale, merger, or other business transaction or proposed business transaction, we may transfer your Personal Information to relevant third parties involved in the business transaction or operations.
- To Advertising Partners and Analytics Providers: Subject to applicable law and your choices, we may disclose identifiers, device and browser information, internet or electronic network activity, approximate location, and similar information to analytics providers, advertising partners, and social media platforms (currently Google, Meta, Reddit, and Microsoft, as described in “Information We Collect”) that help us measure Website traffic, understand usage, improve content and campaigns, and support advertising and related services. Where applicable law treats this as “Sharing” or a “Sale” of Personal Information, or as processing for Targeted Advertising, the Your Privacy Choices link in the footer is how you opt out.
- For Other Purposes: We may disclose your Personal Information to enforce any applicable Terms of Use and to ensure the safety and security of the Website, users, and providers.

Features of Fycus’s Website may permit you to initiate interactions between Fycus and third-party social networking websites and platforms, such as Facebook, Instagram, and LinkedIn, as applicable. Clicking those links may allow you to access Fycus’s pages on third-party social networks and may involve the social network collecting or using your data and Personal Information. If you “like,” “share,” or “repost” information on those social networks, your Personal Information may be publicly displayed by the third party.

We maintain reasonable administrative, technical, and physical safeguards designed to protect Personal Information. No method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

Our Website may contain links to external websites or services. Fycus does not maintain those sites and is not responsible for the privacy practices of external websites or services. Those third-party websites and services are governed by their own privacy practices.

Retention
We retain Personal Information for as long as reasonably necessary for the purposes described in this Privacy Policy, including to provide the Website, comply with legal obligations, resolve disputes, enforce agreements, maintain security and fraud-prevention measures, and keep appropriate business and compliance records.
For the early-access signup form and the "Contact us" form specifically: we keep the information you submit for 24 months after our last contact with you, unless you convert to a customer or join a pilot, or you ask us to delete it sooner. We keep the raw submission record itself for 12 months (a rejected or spam submission is kept for 30 days). We keep a record of anyone who asked not to be contacted, or whose email address has bounced or complained, indefinitely, as a non-reversible scrambled (hashed) form of the address only, so that we honor the request.
We keep contact and conversation records from outside the Website while we are in touch with you and for as long afterward as they remain useful for the purposes described in this Privacy Policy, unless you ask us to delete them.
Retention periods may vary depending on the nature of the information, the sensitivity of the information, the purposes for which it is used, our operational needs, and applicable legal, regulatory, tax, accounting, reporting, or recordkeeping requirements.
