HOA Board Resignation Letter Template
Short answer: A board resignation letter can be short. Say which seat or office you are leaving, the date you would like it to take effect, and how you will hand things over. A reason is optional in this template. Below are a neutral letter you can copy, fictional samples in different tones, and a handover note.
Last checked: October 3, 2026. This page is suggested practice. It does not describe resignation or vacancy rules in any state.
Is it all right to step down?
Board members are commonly volunteers, and lives change. People step down for work, health, family or a move. Leaving in an orderly way is a kindness to the neighbors who carry on.
A calm, brief letter is a good place to start. It gives the board a clear record.
What should the letter say?
A short letter can cover a few things:
- What you are leaving. Your seat on the board, an officer role such as treasurer, or both. These may be separate, so say which you mean. See what each officer role does.
- The date you have in mind. Your governing documents and state law set how a resignation is given, when it takes effect and how the vacancy is filled. This page does not state those rules. Check both before you send the letter. See which HOA document controls.
- How you will hand over. Offer to return records and pass on open tasks.
- A thank-you, if you mean it. A reason is optional. If you give one, keep it short and about yourself.

How to use it
- Send the letter the way your governing documents and state law describe. If you cannot find a rule, one option is to send it in writing to the whole board, keep a copy, and ask the association’s attorney or manager whether anything more is needed.
- Keep passwords out of the letter and out of email. Pass on access in a way the board agrees is safe, and ask to have your name taken off accounts.
- It is wise to return association records and not keep copies of private owner information.
- If you hold an officer role, the tasks in the new board handover checklist may help you see what the next person needs.
- The board may wish to note the resignation at its next meeting. See the meeting minutes template.
What do samples look like?
These are fictional samples. The people, details and community are invented, and any resemblance to a real person or place is accidental.
Warm and grateful (fictional)
Dear fellow board members, I am writing to resign from my seat on the Board of Directors, and I would like this to take effect on [date]. A change in my work schedule means I can no longer give the role the time it deserves. I have enjoyed working with each of you and I am proud of what we did together. My handover note is attached, and I am happy to answer questions as the next person settles in. Thank you for the chance to serve.
Brief and private (fictional)
Dear fellow board members, I am resigning from my role as secretary and from my seat on the Board of Directors, and I would like this to take effect on [date]. I am stepping down for personal reasons. I will return the association’s records in my care, and a handover note is attached. Thank you, and I wish the board well.
After a disagreement (fictional)
Dear fellow board members, I am writing to resign from my seat on the Board of Directors, and I would like this to take effect on [date]. We have not seen every issue the same way, and I respect the time and care each of you gives this community. I think the board will work best with someone new in this seat. My handover note is attached, and I will help make the change a smooth one.
What to do next
- Read what your governing documents say about resigning and about filling a vacancy. See which HOA document controls.
- Decide whether you are leaving an office, your board seat, or both.
- Fill in the letter and the handover note.
- Send the letter, keep a copy, and return records, keys and property.
- Ask the board to confirm it received your letter and to remove your name from accounts.
Common questions
How do I resign from an HOA board?
This page suggests putting the resignation in writing and giving it to the board. Your governing documents and state law set the actual steps, so check both first. If anything is unclear, the association’s attorney or manager may be able to help.
What happens when an HOA board member resigns?
How the seat is filled is set by your governing documents and state law. That differs from community to community, so we do not state a rule here. For what the role involves, see what an HOA board member does.
How do I resign as HOA president?
Say clearly in your letter whether you are leaving the office of president, your seat on the board, or both. Some people step back from an office and stay on the board, where their documents allow it. Your governing documents are the place to look for how officers are chosen and replaced.
Do I have to give a reason?
A reason is optional in this template. Some people give a short, personal one, and some give none. Either way, a letter that avoids blame is easier to read later.
